Overview

The Purchasing Agent is accountable for all tactical aspects assigned to him/her; from analysis of demand, confirmation of correct source of supply, and placement of the purchase order to tracking, monitoring and expediting of orders from the supplier. This will include potential issue resolution such as the return of defective product(s), and resolving receiving and invoicing discrepancies in a timely manner. This position is responsible for organizing incoming supplier quotes, gathering and preparing costing for components used in products and programs, as well as ensuring the company obtains materials at the lowest cost consistent with the considerations of quality, reliability of source and urgency of need. The Purchasing Agent will work closely with key stakeholders in the Tucson facility such as the Production Control, Assembly, Project Management and Advanced Programs Departments to align purchasing strategies with operational needs. 

Responsibilities

  • Support manufacturing on-time performance via timely and effective performance of job duties
  • Send, analyze, and manage all RFQs for components needed by Production
  • Maintain margin goals established for purchased items
  • Analyze risk factors and make appropriate buying recommendations
  • Responsible for purchasing consumable and engineering items in a timely manner
  • Place POs in SAP according to MRP and best business practices
  • Provide updates to internal stakeholders on supplier activity as appropriate (price adjustments, lead times, market sensitivities, supply chain challenges, etc.)
  • Monitor suppliers and open orders to ensure zero past due purchase orders
  • Contact suppliers for expedites and past due purchase orders to ensure constant supply of goods for the Assembly Dept
  • Update purchase orders with all relevant information from suppliers – including order confirmations and shipping notifications
  • Follow up with suppliers on unconfirmed purchase orders
  • Follow up on MRKO items (blocked invoices) and act as liaison between Accounts Payable and Suppliers to clear up any invoice discrepancies
  • Contact suppliers with any receiving discrepancies as advised by EOTM Receiving Dept.
  • Contact suppliers for RMAs as advised by EOTM QA Dept.
  • Keep Master Data accurate in SAP. Master data includes: Make/Buy, Serial/Batch control, PO text QAP flowdowns, Planned delivery time, Special Procurement Key, Purchasing Info Records (PIR), QIR, Source List, and Vendor Master contact information
  • Develop and maintain necessary records and files for efficient operation
  • Interact and coordinate activities with personnel to align with operational objectives
  • Back up the Production Control personnel as needed
  • Comply with federal, state, and company policies, procedures, and regulations

Required Skills & Abilities:

  • Proficient in cultivating productive relationships with suppliers to obtain the best programs/prices available
  • Knowledge of ERP systems; SAP experience a plus
  • Familiarity with AS9100 and ISO quality requirements
  • Basic understanding of NADCAP and MEDICERT preferred
  • Familiarity with supplier FMEA and PPAP processes
  • Leadership and teambuilding skills
  • Strong negotiations skills
  • Excellent time management skills
  • Communication skills – ability to effectively communicate via email, phone and in face to face situations
  • Organizational skills with attention to detail required
  • Able to prioritize tasks/projects to meet essential deadlines
  • Capable problem-solving skills within fast paced environment/industry
  • Proficiency in Microsoft Office: Excel, Word, Outlook
  • Math skills – Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations
  • U.S. Citizenship or permanent residence required

Education/Experience:

Minimum BS degree or equivalent experience; at least 5 years in a similar role

 

Physical Requirements:

Ability to operate office equipment such as a copier; ability to sit at desk or PC for long periods of time; work in office setting.
